The short version

  • We collect what we need to run your account: contact, business and shipment details.
  • Card payments are handled by Stripe, so we never see your full card number.
  • We don’t sell your data, and only share it with the services we use to run Kinetic.
  • You can ask to see, correct or delete your data at any time.

1. Who we are

Kinetic Fulfilment Ltd (company number 16775466, registered office 167–169 Great Portland Street, 5th Floor, London W1W 5PF) is the controller of your personal information.

2. What we collect

  • Contact details: name, email, phone number.
  • Business details: company name, billing address, marketplaces, volumes and the products you send us.
  • Account and shipment information: inventory, deliveries, shipments and invoices in your portal.
  • Payment information: handled by Stripe. We see payment status and the last four digits of your card, not the full number.
  • Messages: anything you send us by email, phone, WhatsApp or our website forms.
  • Website data: basic analytics and cookies from our website platform. See “Cookies”.

3. How we use it, and why

  • To provide our services: receiving, prepping, storing and shipping your stock, and running your account (to perform our contract with you).
  • To bill you: invoices and payments (contract, and our legal obligations to keep financial records).
  • To talk to you: answering enquiries and keeping you updated (contract and our legitimate interests).
  • To improve our website and services (legitimate interests).
  • Marketing emails: only if you’ve agreed, and you can opt out at any time (consent).

4. Who we share it with

We only share your information with the services we use to run Kinetic, and only what they need:

  • Stripe: payments.
  • Our client portal provider: your client portal and inventory records.
  • Formspree: website form submissions.
  • Our email provider: email.
  • Squarespace: our website.
  • Amazon and carriers: where needed to ship your stock.

We don’t sell your data. Some of these providers may process data outside the UK; where they do, they use approved safeguards such as the UK International Data Transfer Agreement or standard contractual clauses.

5. How long we keep it

We keep account and financial records for 6 years after your account closes, as required for tax and accounting. Enquiries that don’t lead to an account are deleted after 12 months.

6. Your rights

Under UK data protection law you can ask us to:

  • see the information we hold about you
  • correct anything that’s wrong
  • delete your information (where we don’t need to keep it)
  • restrict or object to how we use it
  • send it to you or another provider in a usable format
  • stop marketing emails at any time

7. Cookies

Our website uses cookies to work properly and to understand how it’s used. You can manage cookies through the banner on our site and in your browser settings. We use Squarespace’s built-in analytics, and we may use advertising tags from Google and Meta to measure how well our ads work. These only run if you accept them in the cookie banner.

If you’re unhappy with how we’ve handled your data, please contact us first. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
